Your group’s safety on tour is our priority and we never compromise on our high safety standards.

Having operated tours safely since 1965, you can feel secure when travelling with us knowing that we monitor all aspects of safety on our tours. We take the time to understand your group so we can meet your objectives and take care of any special requirements safely and sensitively.

As both founding and current committee members of the School Travel Forum, we’re involved in key industry discussion and decision making. We also benefit from the expertise of external partnerships with agents such as the STF, VLM and Argent who train and support us to adhere to best practice safety management.

We are also proud holders of the Learning Outside the Classroom (LOtC) Badge. This is a national accreditation awarded by the School Travel Forum, meaning you can be confident in the quality of the educational experiences we provide.

Safety, Risk and Crisis Management Handbooks

Our overall commitment to your safety on tour is covered in our three comprehensive handbooks.

Firstly, our independent Safety Management System Policy is your go-to document for all things safety, covering all of the high safety standards and guidelines we adhere to on every tour. Based on the STF’s standards, it has since evolved to exceed those standards in all areas.


Secondly, our Generic Risk Management Handbook is our practical guide to manage risk on tour, used to support you when considering potential risks and completing your own risk assessment, or to submit in conjunction with your own, depending on your Local Authority’s requirements.

Finally, no one likes to think about a crisis, but rest assured that we’re fully prepared in the event that exceptional circumstances prevail whilst on tour with our Crisis Management System – something that was successfully implemented following the 2010 Eyjafjallajökull eruption in Iceland.

Organising tours since 1965, you can be assured that there aren’t many questions that we haven’t already been asked. Below is a list of some of our most frequently asked questions.

  • Do you provide risk assessments for the visits you offer?

    You can download our Generic Risk Management Handbook which will help you complete your risk assessment for your school or Local Authority. The aim of the handbook is to provide all tour leaders with supportive suggestions to help raise awareness to risk, suggest control measures to help mitigate the risk and manage risk pro-actively. For further assistance, please speak to a member of our team who will be happy to help.

  • What should be included in my risk assessment?

    Start by identifying the potential hazards before deciding on the appropriate precautions to minimize the potential risk for your group. Once identified, record your findings and implement the precautions. Specific requirements are available from your Local Authority.
  • Do you provide risk assessments for hotels?

    Rayburn Tours have individual audits which are completed on every hotel/accommodation centre which we use. We are more than happy for you to see this should you wish. Our audits cover fire safety, means of escape and general safety.

  • I am required to complete an Educational Visits (EV) form by our Local Authority and I cannot answer all of the questions?

    We are happy to assist you in completing your EV forms and return them directly to your Local Authority on your behalf, just speak to your Tour Consultant.
  • What do I need to do to ensure safe travel for my group?

    Information is available from your Local Authority on what is expected from party leaders on a trip. In addition, we are happy to assist you in ensuring that you have all of the necessary information to successfully assess risks and ensure a safe trip for you and your group. Further advice and information can be found on the OEAP National Guidance website.

  • What safety support do you have in place for clients choosing to tour with you?

    At Rayburn Tours we are proud of our continual commitment to safety. Clients who tour with us can be assured that we have the following support services and systems in place: Safety Management System, Generic Risk Management, Crisis Management System, ATOL Licensed, ABTA Bonded, insurance, 24-hour emergency contact system, hotel audits, coach audits and activity audits. 

    In addition, we are a member of the School Travel Forum (STF), giving you the reassurance that all of our trips meet, or indeed exceed, the safety standards required by your school and Local Authority.

  • What are you responsible for?

    The DfE’s guidance for safe travel highlights the need for all those involved with the organisation and running of a tour to work together as a team. This is our aim at Rayburn Tours, to work together with our party leaders to ensure our groups' safety and peace of mind.
