Why Groups Should Use A Tour Rep On A School Ski Trip

A school ski trip is often a highlight of the year – it’s a chance for students to explore a new environment, develop skills on the slopes and create memories that stay with them long after they return home. Yet behind the excitement sits a significant amount of preparation. From coordinating travel and ski lessons to ensuring safety, wellbeing and smooth daily logistics, the responsibility placed on group leaders is considerable.

What Is a Tour Rep – and Why Do They Matter?

A Tour Rep is a dedicated member of the team who supports your group from your arrival in resort until the moment you depart. They coordinate key practicalities such as lift passes and ski school arrangements, manage timings across the week, liaise with hotels and local suppliers and ensure après-ski plans run smoothly. Most importantly, they provide reassurance and an experienced point of contact for both staff and students.

Dave’s Experience: Seven Years of Ski Trips

Dave, a teacher from Calday Grange Grammar School and who has been venturing on ski trips with Rayburn Tours for around six to seven years, offers a clear picture of the difference a Tour Rep can make. When he first took over responsibility for the ski trip in 2024, his experience was far more positive than he expected. As he describes it, his first trip ‘went really well’, and the support he received helped him feel confident continuing the tradition each year.

He manages his pre-departure organisation through tools like Google Forms, but once at the resort, he says the Tour Rep becomes essential. When asked whether they help the tour run smoothly, his response was immediate: ‘Yes! It was a massive help.’

From guiding the group around resort to coordinating the week’s logistics, the Tour Rep becomes an integral part of the experience. Dave has felt this even more strongly in recent years, particularly since he now runs two ski trips in some seasons, including an additional sixth form group when many younger students withdrew due to exam pressures.

A ski trip to Sestriere stands out as a defining example of the Rep’s importance, when a student experienced a medical emergency.

Whilst I focused entirely on the pupil and communicated with parents, our Tour Rep, Eve, took control of everything else – managing the insurance process, securing extra legroom on the flight home, organising a fit-to-fly certificate, arranging transport, and coordinating the airport experience. Her handling of the situation ensured the group felt supported and the trip continued to run smoothly
